Project Overview

The problem and how we solved it

The Challenge

  • Fragmented property and tenant records: Tenant details, lease agreements, deposits, unit allocations, and payment histories were stored across multiple files and spreadsheets.

  • Manual rent tracking: Rent due dates, partial payments, late payments, and arrears were difficult to monitor consistently.

  • Limited property-listing visibility: Available units, occupied units, rental rates, and property details were not centrally managed.

  • Difficult bank reconciliation: Payments received through bank transfers, mobile money, cash, and landlord deposits had to be matched manually against invoices and tenant accounts.

  • Poor arrears visibility: The team needed a clear view of overdue rent, aging arrears, partial payments, and tenants requiring follow-up.

Our Solution

  • Central property register for apartments, houses, commercial units, and other rental assets.

  • Property profiles containing location, unit count, rental rates, ownership details, images, documents, and status.
  • Unit-level tracking for vacant, occupied, reserved, under-maintenance, and unavailable units.
  • Property-listing module to publish available units with photos, descriptions, rent amount, deposit requirements, and contact information.
  • Occupancy dashboard showing portfolio performance, vacancy rates, and unit availability.
